Admissions Officer / Atlantic Education International (AEI) Liaison

Newcomer & International Student Welcome Center

 July 2022 – July 2024, with the possibility of extension

 

Description:

 

The Admissions Officer would represent ASDS as the face of the District, Schools, and broader community with prospective families/students.  This includes responsibility for all communication with families leading up to registration, registration of students, data input (Power School & Info Path), data management & reporting, invoicing of fee payers, letters of acceptance, keeping current on IRCC (Immigration) policies and best practices around the province, all duties assigned as AEI Liaison, including distribution of funds to schools. 

 

Areas of Responsibilities:

 

·         Lead and develop a communications plan, for prospective families, toward student enrollment

·         Maintain online admission appointments, coordinate applicant consultations & visits

·         Coordinate systematic and efficient handling of applications and communications with parents of student applicants, as well as, with school administrators / admin staff

·         Verify the applications of prospective students based on EECD admission standards and IRCC immigration policies

·         Conduct virtual or in-person meetings with parents to finalize registration process

·         Process student registrations - organize, manage, and oversee the input of registration information into Power School & Info Path

·         Track progress of incoming application requirements, following up on and requesting missing information

·         Oversee and participate in the development of admissions materials, marketing practices and webpage, creating efficiencies and streamlining processes

·         Manage student data and provide up to date data to EAL Coordinator & Management Team, as requested

·         Prepare admissions reports by collecting, analyzing, and summarizing data and trends

·         Invoice & track payments for fee paying students and Letters of Acceptance

·         Meet with visitors on Exploratory Visits to NB

·         Participate in EECD and ASDS meetings, as required

·         Liaise with local Settlement Agencies - YMCA Newcomer Connections, Saint John Newcomer Center, Charlotte County Multicultural Association and Sussex Multicultural Association

·         Research updated IRCC information to support required registration documentation

·         Research best practices in other provinces

AEI DISTRICT LIAISON

·         Support AEI District Administrator to register students

·         Activity budgeting and expense reimbursement for Homestay Coordinators

·         Support AEI District Administrator with school related issues (ie. EAL accommodation, etc.)

·         Distribute AEI disbursement to schools and District

·         Ensure students are supported through the Welcoming Schools initiative

 

 

 

 

Qualifications and Experience:

 

·         Demonstrated ability to work well under pressure and deal courteously and tactfully with newcomer families, settlement agencies, school administrators and admin staff

·         Knowledge of K-12 education system in NB and ability to use policy and departmental procedures to problem-solve day to day issues

·         Ability to plan, organize and prioritize tasks and meet deadlines, maintaining accuracy and attention to detail

·         High level of computer literacy, including Microsoft office and database applications

·         Excellent interpersonal skills, including professional email and phone communication skills

·         Ability to create and maintain detailed records

·         Able to work independently and as part of a team

·         Experience working with immigrants and knowledge of IRCC (Immigration, Refugees and Citizenship Canada) would be an asset

Salary Range: $42,146.00- $67,366.00 annually, compensation determined based on qualifications and experience.
